Mastering Shipment Reconciliation: A Step-by-Step Guide for Amazon Sellers

As an Amazon seller, managing your FBA shipments is crucial for maintaining accurate inventory and avoiding headaches. That's where the shipment reconciliation tool comes in handy. This powerful feature allows you to identify and resolve any discrepancies between what you sent and what Amazon's fulfillment centers received.

Let's dive into the details on how to use this tool effectively.

First, check if your shipment is eligible for investigation. Head to the Shipments section in Seller Central, find your shipment, and click "Track shipment." The Contents tab will show you the status. If the shipment is still being processed, hasn't been delivered yet, or has already been fully reconciled, it may not qualify for further research.

However, if there are differences between your shipping plan and what was received, you can use the tools within the Contents tab to get more information and request an investigation.

The key steps are:

1. View the discrepancies

  • Check the "Units located" messages to see if items were received, reconciled, reimbursed, or had other statuses.
  • Examine the "Status" column to understand the state of each product, whether it's in "Receiving," has "Action required," or is "Units located. No action required."
  • To get tips for avoiding discrepancies and ensuring that your FBA shipments are eligible for reconciliation, watch this video from Seller University!

2. Request research

  • For any products with an "Action required" status, select the appropriate option from the dropdown, like "Units not shipped" or "Research missing units."
  • This tells Amazon to investigate further and try to reconcile any discrepancies.

3. Upload documents

  • Provide proof of inventory ownership, such as an invoice, receipt, or packing slip. This should include the date of purchase, product names, and quantities.
  • For LTL or FTL shipments, upload a bill of lading showing the number of boxes and total weight when the carrier picked up the shipment. This helps verify the entire shipment was received.

4. Provide additional information

  • Describe any known discrepancies, like shipping box details or product codes.
  • This extra context can assist Amazon in resolving the issue more quickly.

5. Preview and submit

  • Review the information you've provided, and if everything looks correct, click "Submit Request."
  • This will create a case with Selling Partner Support, and you'll receive a case number to track the progress.

Keep in mind that the reconciliation process can take 2 to 60 days, depending on the complexity of the case. But by following these steps and providing the necessary documentation, you can help Amazon investigate and resolve any issues as efficiently as possible.
