Additional information
Dear Performance Team,

We understand that we have made a major mistake by not following Amazon’s Drop Shipping Policy and we sincerely apologize for this mistake. Now, we have completely fixed it moving forward and hence putting forward our plan of action to further avoid such happening again.

Greater detail on the root cause(s) of the Drop Shipping policy violations:

1.Our supply chain was invalid and against Amazon’s policies as we were drop shipping our products from big box stores without having our name on the packaging, packaging slips and invoices as the seller of record.

2.We were listing products from one big box store platform and were not the seller of record for our products. We were directly selling products from the store’s website to our Amazon customers. This was a major mistake that will never happen again in future.

3.We did not fully understand and comprehend Amazon’s policies which led to us violating the supply chain and drop shipping policies. The drop shipping policies are listed here: https://sellercentral.amazon.com/gp/help/help.html?itemID=201808410

4.We had issues with our inventory tracking system.

5.We should have sourced our products from authorized distributors using FBA & our own merchant fulfilled services directly from our warehouse instead of drop shipping from a retailer.

6.We should be responsible for accepting and processing customer returns of all our products.

7.We should have complied with all other terms of the seller agreement and applicable Amazon policies found here: https://sellercentral.amazon.com/gp/help/help.html?itemID=G1801&language=en_US

Greater detail on the actions you have taken to comply with Amazon Drop Shipping Policy:

  1. On 02/03/2021, We have ceased drop shipping any orders and have deleted, removed and discarded of our entire current Amazon inventory in order to restart our business and comply with Amazon’s policies and requests.

  2. We are participating in Amazon FBA and our own merchant fulfilled services from our warehouse moving forward.

  3. We have located all of our invoices, letters of authorization and contracts to oblige with all Amazon policies (supporting supply chain verification) from our supplier for products that we will list on Amazon in the future.

  4. We are purchasing authentic products from authorized distributors as well as sourcing private label goods to sell via FBA & self-fulfilled in the future.

  5. On 08/03/ 2021, We have initiated a new program to ensure that all of our products are authentic. This includes:
    a. Contacting the original brand to verify our supply chain.
    b. Checking government databases for issues with IP infringements.
    c. Ensuring that there are no restrictions from us selling the brand on Amazon.
    d. Checking UPC and other product identifiers to ensure they match the product.

Greater detail on the steps you have taken to prevent violations of Amazon Drop Shipping Policy going forward:

  1. Removed all ASIN’s from our inventory and are only going to list private label and authentic products from authorized suppliers or brand owners moving forward via FBA and merchant fulfilled directly from our warehouse.

  2. We are never going to drop ship any products moving forward, and are only going to list products sourced from authorized distributors of our private label or licensed products via FBA & merchant fulfilled from our warehouse. We will always be the seller of record and all packaging, slips and invoices will prove this.

  3. Only source licensed products from authorized distributors with letters of authorization and brand approval to prove this.

  4. We are never sourcing our products from a different retail marketplace again. We always have established and policy-abiding supply chains. We have a thorough review and audit process for our suppliers including having them supply us the following:

• Valid business license.
• Proof of valid supply chain.
• Contract to oblige with all US laws and Amazon policies.

5.We confirm that they are authorized distributors of our products with the brands/publishers.

6.To fix stock tracking issues, we are now using integrated inventory management software, as well as using Amazon’s “Buy Shipping” service when applicable. We will always have valid tracking number for our clients.

  1. We have re-read and educated ourselves on all Amazon Seller Policies, specifically when it came to Drop Shipping Policies and the Seller Agreement listed here: https://sellercentral.amazon.com/gp/help/help.html?itemID=201808410

  2. We are monitoring our account daily and take all necessary actions to stay policy-abiding sellers.

  3. We have also established a new policy to help us be aware of problems and fix them faster:

  • Review our order defects, customer service performance, price alerts and all other account metrics every day and look for problems with returns, pricing, A-Z claims, and negative feedback.

  • Review our customer communications and negative feedback daily with our team.

  • If we see more than one complaint for an ASIN or receive any warnings from Amazon, close the listing until we can investigate.

Greater detail on evidence or examples that demonstrate that your account has complied with our policy:

We are striving to give the best quality products to our valued customers without any damage to them. Hence, we are taking care of the packaging and sending the order from our facility with utmost care as demonstrated in the pictures we have attached for one of our orders. This pack & shipping of the boxes enhances the quality of the product by scrutinizing each order such as quality check and expiration on top of everything.
You may see the pictures of one of our orders in the attachment.

Our company hopes that Amazon notices how serious we are taking this violation and all the steps we have implemented to ensure it never happens again.
Should you have more questions, do let us know. We’ll be happy to get back to you quickly.

Thank you,
PhamFare

Thank you for providing the Amazon messages and POA! Help us understand your situation a bit better, so that we can help.

  1. Did your drop shipping practices lead to high ODR?
  2. What were your A-to-z claims, negative Seller feedbacks, and chargebacks?
  3. Why did you include so much info about inventory tracking and suppliers in your POA?

Seller_WTtGxc5kaI6qK

currently here are my ODR stats:

[2.82% ]
2 of 71 orders (A to Z claims)
60 days

I see this too as well though:
[0.21%]

Orders with a defect: 10

Total orders: 4,693

|Defect Type|Percentage of Orders with a Defect|Count of Orders with a Defect|
|Negative Feedback|0.09%|(4)|
|A-to-z Guarantee claims|0.13%|(6)|
|Chargeback claims|0%|(0)|

I doubt that Amazon will take you seriously, based on that appeal. You need to simplify, simplify, SIMPLIFY.

To get help here, start by telling us how much of your business was drop-shipping. Did you fill ALL your orders that way? Or did you also have physical inventory on hand in addition to drop-shipping?

What’s most confusing is that people who use other retailers to drop-ship do that so they don’t have to put out cash up front to purchase inventory, or bother with all the headaches of running a real business.

On the other hand, people who do run a real business, with physical inventory sourced through proper channels, don’t spend their time drop-shipping from online retailers.

To me, your POA totally misses the mark. Amazon already knows you failed to follow the drop-shipping rules. They want to know why you chose to do that? You went on at length about what you did, but Amazon knows all that already. They want you to tell them why.

  • There was a rule in place
  • You didn’t follow it
  • Why the heck not?

That’s what you need to explain, it’s your “root cause”.

We had issues with our inventory tracking system.

What inventory tracking system? If you were drop-shipping, you had no inventory, that’s the whole point of drop-shipping. So why would you need a system to track something you don’t have? It makes no sense.

We have ceased drop shipping any orders and have deleted, removed and discarded of our entire current Amazon inventory

What inventory did you discard? This sounds like bullsh*t. Drop-shippers don’t have inventory, so there’s nothing to dispose of. You said you hope Amazon will take you seriously. Saying stuff like this will guarantee they won’t.

We are participating in Amazon FBA and our own merchant fulfilled services from our warehouse moving forward.

Sounds like more BS. To do either of those things, you have to have physical inventory in your possession, which it sounds like you don’t have.

We have located all of our invoices, letters of authorization and contracts to oblige with all Amazon policies

More BS. Drop-shippers don’t have invoices or letters of authorization, so how can you “locate” what you don’t have? :woman_facepalming:

  1. We have a thorough review and audit process for our suppliers including having them supply us the following:
    • Valid business license.
    • Proof of valid supply chain.

More BS. You’re going to ask your supplier for their business license? And you’re going to ask them to provide proof of their supply chain? This is just crazy talk. Suppliers, if they’re legitimate, ARE the supply chain.

To fix stock tracking issues

Were there stock tracking issues? As a drop-shipper, you have no stock to track, so ???

And on and on and on.

You need to just suck it up and say - We decided to break the rules. We got caught. We’ll deal with our punishment (only being allowed to sell real inventory you physically possess through FBA) and have learned not to break the rules anymore.

When Amazon responds to a POA asking for “more” details, they don’t really mean they want “more” details or “more” words, they mean they want a better POA.

Yours has to say you accept being limited to selling through FBA only, and explain briefly why you broke the drop-shipping rules in the first place.

Dear @Hungpham214

This is Historia here to provide support.

As @papyrophilia has mentioned, thank you for providing us with your deactivation notification and latest appeal.

This is a good starting point to address the root cause of the issue. It will help in your appeal if you include more specific details.

Root Cause:

@racingroxstore has raised many useful points:

In addition, you can further elaborate on why this is a violation of the Amazon’s Drop Shipping policy to show you have understood the problem here.

  • Did your company have sufficient training for all staff to understand drop shipping policies?
  • Is there any reason for using drop shipper to fulfill orders to customers on your behalf?
  • Did you request your supplier to remove any packing slips, invoices, external packaging, or other information identifying a third-party drop shipper prior to shipping the order?
  • Did you identify yourself as the seller for the products?

Corrective Measures:

It is great that you have taken the step forward to resolve the issues immediately!

I would suggest to park this under preventative measures. This plan can be supported with more details, such as when exactly do you wish to begin using FBA? Which are the items that will go into the FBA program? You need to show that you have given thoughts about your execution plan, and the timeline of which it will occur.

Apart from your FBA plans, I suggest you can look into the ways you will ensure your products clearly indicate you as the seller before they are shipped.

Preventative Measures:

In your preventive measures, you mentioned on the future checks on products before shipment with regards to quality, packaging material and other details. For this point, I would suggest you can share more on the future checking in regards to drop shipping issues. For example, suppliers packing slips, invoices and other information.

Additional information in your preventive measures could include:

  • What will be your methods of order fulfillment in the future?
  • Will there be frequent trainings conducted in your company to educate on Drop Shipping?
  • How will you stay up to date of Amazon policies?

Your appeal will need to prove that you now have a strong supply chain and fulfillment process in place. Having the documentation to back up your supply chain will create a much stronger appeal.

I am glad to see you have received excellent help from this community and I hope my response has been beneficial to your business.

Once you edit your appeal, you can post it back here for more feedback. We will be looking forward to your updates in this post to further assist you.

Cheers,
Historia (希丝莉亚)

Thank you for providing the Amazon messages and POA! Help us understand your situation a bit better, so that we can help.

  1. Did your drop shipping practices lead to high ODR?
  2. What were your A-to-z claims, negative Seller feedbacks, and chargebacks?
  3. Why did you include so much info about inventory tracking and suppliers in your POA?

currently here are my ODR stats:

[2.82% ]
2 of 71 orders (A to Z claims)

I see this too as well though:
[0.21%]

Orders with a defect: 10

Total orders: 4,693

|Defect Type|Percentage of Orders with a Defect|Count of Orders with a Defect|
|Negative Feedback|0.09%|(4)|

Thank you for providing the Amazon messages and POA! Help us understand your situation a bit better, so that we can help.

  1. Did your drop shipping practices lead to high ODR?
  2. What were your A-to-z claims, negative Seller feedbacks, and chargebacks?
  3. Why did you include so much info about inventory tracking and suppliers in your POA?
