We sold an action figure on September 9. Then, on September 10, we sold another. The issue is that we only had one remaining in stock; only one listed. Should we cancel the order? Should we contact Amazon and if so, who should we contact? We’ve already had to cancel one order this month for the same reason and we really want to avoid any negative strikes on our account. It’s a forever problem on Amazon. They’ll say there isn’t a glitch when there is. All you can do is take the metrics hit and contact Amazon to notate it in case you get an account review. Or you can dropship at a loss.

It helps to delete listings after an item is sold out. I call these “Ghost” or “Phantom” listings. They are a big pain. I get a couple a month and I am just a small seller.

Would it be against Amazon policy (I’ve looked and cannot find anything about it) to offer the customer another figure from the same toyline, as a replacement?

Have Amazon check your listing and ASIN Qty during time between the 2 orders.
You might get an honest rep who tells you it was out of stock after that first order, if so, have them put it in writing in their follow up email for the cases then email that to seller performance preemptively so they’ll have your account already notated in case of any future issues with reviews?
You may also search for this same item being offered on another platform, and buy it using Your buyers address.
If you drop ship from purchase made on Amazon, you won’t be able to provide a tracking number because your seller already provided it once, on your order. So try n find the item on the bay or any others, heck, even craigslist.
You will lose a little money, but Save your metrics. If metrics can absorb the hit, then just cancel the order and move on.
These Ghosted Orders can drive you crazy, and they seem to come in clusters so keep an eye on your inventory right now.
Lastly, delete any listings with zero quantities that you know you’re not going to be restocking anytime soon or ever again.

If its FBA, you wouldn’t be able to cancel it, so it isn’t that.
This has to be an issue with a FBM listing, and as such you are responsible for keeping your inventory up to date on your seller account. My advice is to cancel the order, let the buyer know what happened, and take the lesson with you and keep better accountability of your inventory levels. At least this lesson only cost one cancellation hit and not your account.

You better find the exact item and pay the express delivery charge and get it to the buyer.
Take your hit on the cost and move on, you are in hot water now so don’t make it worse.

We have an online inventory management system, Stitch Labs, that feeds all of our stores. It works perfectly and overselling does not happen very often.

I am a seller fulfilled 3rd party seller. I first thought it was a slip up on my part. Then it happened so often that I realized it was not me. I just cancelled the orders. Called CS and had a note added to the account.
I now delete any listing that is out of stock. If it just goes to inactive inventory you will run the risk of an out of stock item available for sale.
