Does anyone know if 'Refund at First Scan' happens when the UPS Store receives the item, or does it have to be actually in the possession of UPS?
I was just contacted by a customer who is returning a book and wants me to refund their order. They generated their label through the proper return process and dropped the book off at their local UPS Store on the 8/30. It does NOT appear though that the package has been actually received by UPS though. I will not refund an item myself until I physically receive it, but since the whole Refund at First Scan thing happened, that hasn't been a factor.
As a side note, this return is for a textbook that was mailed out in mid-July. The customer contacted the night that it was first mailed out and asked me to cancel the order They said that neighbor loaned them a copy of the book, and that they no longer needed it. Now 8 weeks later they're actually returning it. Most likely this was a free textbook rental at my expense.
If they dropped it off on Sunday there will probably not be anything in the system until Tuesday from the looks.
I dropped an outbound shipment at my UPS Store yesterday (Sunday) about noon CDT and it is showing nothing. I gave it directly to the owner and they scanned it so I know they have it.
I suspect their data 'dump' will happen Tuesday morning when they reopen.
I would tell the 'buyer' that AMAZON handles all the refunds and it will be taken care of as soon as they can -- possibly by early next week after the Holiday closings.

Refund at First Scan (RFS) applies to both seller-fulfilled returns and returns on orders fulfilled by Amazon.
With refund at first scan, a buyer receives a refund when the returned item is dropped off at a designated carrier location using the Amazon prepaid return label issued. Returns that are self-ship or use a merchant paid label are not eligible for a refund at first scan.
