Hey Amazon sellers! 👋

What happens when you open a return package, only to find it's not your product inside? It's crucial to understand and follow Amazon's exact policy. Let's dive deep into the process that protects your business while maintaining excellent customer service.

📋 Required Steps (Per Amazon Policy):

1. Contact the Buyer Immediately

When you receive the wrong item:

  1. Use Buyer-Seller Messaging within 24 hours of receipt
  2. Clearly state you've received an item different from what was ordered
  3. Provide detailed description of the item received (color, size, brand, etc.)
  4. Attach clear photos of the received item
  5. Document date and time of all communications

2. Offer Clear Options

Amazon requires you to:

  • Ask if they want their incorrect item returned
  • Offer the option to return the correct item for a full refund
  • Provide a clear timeframe for their response (e.g., 48 hours)

3. Shipping Arrangements

If buyer wants incorrect item returns

  • Use Amazon's messaging system to document the agreement
  • Provide estimated shipping costs for their consideration

4. Refund Processing Options

  • If no resolution reached after following steps:
  • Charge up to 100% restocking fee, depending on the return request (see policy for details)
  • Must process within 2 business days of final communication
  • Document item condition with multiple clear photos
  • Measure and weigh item, documenting differences
  • Upload all evidence to refund workflow
  • Select appropriate reason codes in refund process

🛡️Protection Measures

⚠️Important Policy Notes:

  • 24-hour response window for all buyer messages
  • 2 business days to process refunds after receipt
  • All communication must be through Buyer-Seller Messaging

Hi @Xander_Amazon!

Amazon does not allow sellers to charge a restocking fee when buyers receive a used or damaged item. While that makes sense in theory, millions of malicious buyers have learned that if they make a false claim of receiving a used or damaged item, they can return a product that they damaged themselves, an empty box, or a box of rocks, and get a full refund, with the seller having no recourse to charge a restocking fee.

How can us sellers protect ourselves when a buyer fraudulently declares their product was "used or damaged" in order to game the return system?

Refunds done at first scan, I get damaged unsellable product back and get 1.43 on safety claim * not even return ship because abusive buyer broke item and choose item defective. Yeap it is not it was not broken when it arrived because you would have filed right there. That did not even cover the cost of the item, shipping or supplies use. not even to mention time. And then look for that upcharge in shipping 35 days later that you can NOT appeal after 14 days.

@Xander_AmazonI am trying to contact a buyer that claims by return reason that we sent the wrong item and they actually returned a used item to us that we do not even have as a product to sell or ship accidently to a customer.

The Required steps information you provided listed in the "1. Contact the Buyer Immediately" section, advises that we attach clear photos of the received item, however there does not seem to have an option available anywhere to upload/attach photos in the Contact Buyer section or copy/paste the images on the email. I am attempting to do it in the Manage Returns menu , on the "Contact Buyers" link in the Action section.

Do you know if there is a way for us to upload/attach photos there, or is there an issue we should submit to get it resolved?
